Letter from the Treasurer Regarding 2016 Election Process

USRowing developed new policies and protocols in 2014 to ensure greater integrity of the balloting and election processes, and we have hired Survey & Ballot Systems (SBS), a third-party online election service, to conduct our annual elections. Eligible voters are required to complete several actions under these changes in order to vote in the 2016 election. These are outlined below. Please take appropriate action before the election begins.

Dear Organizational and Individual Voters:

USRowing developed new policies and protocols in 2014 to ensure greater integrity of the balloting and election processes, and we have hired Survey & Ballot Systems (SBS), a third-party online election service, to conduct our annual elections.

Eligible voters are required to complete several actions under these changes in order to vote in the 2016 election. These are outlined below. Please take appropriate action before the election begins.

Once the Date of Record (December 18, 2015) passes, no changes to the contact information can be made for election purposes.

1. Each voter shall have a valid email on file with USRowing that will serve as the point of contact for the balloting process. Only this email address will serve as the communication point for all election materials and communications.

2. USRowing has partnered with Survey & Ballot Systems (SBS) to administer the 2016 election. To assure your election-specific broadcast emails arrive safely in your inbox, simply add noreply@directvote.net as an approved sender.

3. Ballots will be emailed to eligible voters on December 31, 2015, and a random and unique password specific to that voter will be included.

4. Questions and issues related to voting, credentials or ballots should be made directly to Survey and Ballot Systems, our third-party administrator and teller for the election.

5. USRowing will not have administrative access to the election process once voter data and ballot nominations are forwarded to Survey and Ballot Systems after the Date of Record. Staff can no longer answer questions or help members in relation to voting in the election after the date of record has passed.

6. Upon completion of the election, Survey and Ballot Systems will independently review the election data to evaluate if any irregularities have been found.

7. A final teller’s report of the election results will be sent to the USRowing for approval and will be posted to USRowing.org thereafter.
